Excellent Guide to GNUCash
By Paul
I have used GNUCash for personal finance off and on throughout the years. I have found it a bit overkill for personal needs, however. For small business needs, I have always felt that it has great potential.
One of the biggest stumbling blocks to wider adoption of GNUCash is not the software, it is the lack of a good user manual for it. Unlike most commercial offerings, GNUCash is a double entry system. This means it is more like PeachTree than QuickBooks. I consider that a very good thing. Unfortunately, this means that is a bit harder for some people to figure out. The latest versions of the software have worked hard to make double entry accounting accessible to the average "non-accounting" person. These changes have been largely successful.
Prior to the purchase of this book, what I felt GNUCash really needed the most was a good user manual. Not to knock the free stuff that is out there, it is very detailed-- but it is not organized in a fashion where it is easy to read. Nor could I recommend the documentation to a busy business owner with a limited amount of time.
When I saw that this book existed, I decided to get the e-book version of it right away. I had just started freelancing again, and was in the process of importing my "shoebox" of start-up receipts and check stubs into GNUCash-- in preparation for doing my taxes. It had been awhile since I used GNUCash and I wanted to make things flow as quickly and smoothly as possible. Hence, the introduction of the book was very timely.
I put aside a day to really go through the book. As a result, I learned everything that the current version of GNUCash could, and could not, do for my business. In the end, I found that this book did an excellent job of explaining how to use GNUCash. More importantly, the book goes above explaining the software and explains the reasons why the software is setup the way it is. Examples of best practices for small business accounting are shown and explained. Contrasting examples (of what not to do, or less than ideal practice) are often provided at the same time. The book's details stop just short of recommending tax and legal advice (which is ideally where a book of this sort should stop).
The writing style of "GnuCash 2.4 Small Business Accounting" is direct and accessible. It is not needlessly verbose, nor does it assume that the reader knows material that many are not likely to know (a traditional fault with the manuals to most Free/Open Source Software). The author has an ability to express technical concepts to readers that is often lacking in technical literature. The information is presented in as interesting a way as possible, without getting too cheeky. The length of the book is such that it is possible to work through it fairly quickly-- in a day or two.
Each chapter in the book is organized into sections. These sections are typically set up as follows:
1. There is background information related to the chapter presented first. Concepts are introduced, business needs that the chapter addresses are explained. When appropriate, best practices are introduced.
2. The introductory section is followed by multiple hands on lab assignments. Each assignment has full instructions, you are shown screen-shots that walk you through each task.
3. After each lab assignment, a review section explains in detail "what just happened" and why. Further best practices are elaborated on here.
4. A pop quiz on each section is then offered. This lets you review the content to make sure you understand it.
5. Further "extra credit" assignments are then given that the reader may do to examine a task more in depth.
The following subjects are covered:
1. Installing GNUCash, on Windows.
2. Best practices for setting up GNUCash for business use.
3. What GNUCash can and cannot do.
4. Setting up and automating transactions.
5. Using reports and charts to monitor your business.
6. Accounts Receivable/Accounts Payable. Basic accounting concepts to each are explained.
7. Importing information from Banks and other businesses.
8. Trip Planning and budgeting with GNUCash.
9. Using GNUCash to help you get ready for tax time.
10. Using GNUCash in a non-profit.
11. Printing checks.
12. Managing customers, jobs and Purchase Orders.
13. Using your phone to load data into GNUCash.
14. Integration and use of GNUCash with a SQL server/ Open Office Base.
In closing, this book is excellent. It is good as a guide, and as a continuing reference. I hope this book manages to receive regular updates with each new version of GNUCash. Consider this the "missing" GNUCash manual for the average small business owner.

Excellent book for new small businesses
By Mark Mueller
We have a farm which is generating revenue from egg sales ("eggs from free-range, pasture-fed, spoiled rotten hens"), and we hope to sell other agricultural products as well. I wanted to move beyond the cash envelope and receipt shoe box in order to work towards profitability. Gnucash seemed like the way to go because it's free, open source and easy to use. It's also designed to fit US IRS tax forms.
"Gnucash 2.4 Small Business Accounting" is just what I needed. The author assumes no knowledge of bookkeeping and teaches the concepts while teaching how to use Gnucash. Given the subject matter, the book is surprisingly readable. I read the entire book before downloading the software, and was able to follow the book quite easily without hands-on experience. I wanted to be sure that Gnucash was right software for us, and have a good sense for which accounts to choose when setting up the bookkeeping system. Of course it's generally easy to make changes later, but I wanted to be able to envision how the system would meet our needs.
The author is very good about covering how to recover from errors, including rare problems that the software doesn't facilitate. He answers questions you might have like, "Why not skip entering transactions and just import them from an electronic bank statement?" or "Why create budgets in Gnucash if I'm going to have to export them to a spreadsheet to do certain types of analysis?" The author also points out the reports that a tax accountant will want to see, the reports a bank considering a loan will want to see, and even how to go from a budget to a business plan.
The only topic of interest to me that was missing is a concept I'm calling "petty owner investment". In the author's defense, no one else seems to talk about the issue. (This is really a suggestion for a second edition.) Our business is too small to justify a checking account or credit card. We buy things for the business out of our own accounts. If I buy things for the business and don't expect to be reimbursed, I must have to show contributions to owners equity to balance the expenses. Monthly credits to the equity account totaling all the stuff we bought? As someone who's new to accounting, I'm not too comfortable inventing concepts.
All in all, an excellent, readable introduction to small business accounting as well as Gnucash.

Well worth the purchase
By Andrew M. Fountain
I am very glad I bought this book. I was not looking for a dummies guide, but one for someone of average intelligence but not much time. I basically worked through his examples and very quickly got up to speed.
